Hunter Pacific Group is a woman-owned small business that has provided cost estimating services for over 20 years. We have a diverse client base that allows our team of project managers, estimators, schedulers, mechanical and electrical engineers to work on a wide variety of exciting projects. In addition to cost estimating, we provide scheduling support, construction professional services, facilities engineering and Integrated Automation Systems (IAS), Cost and Schedule Risk Analysis (CSRA), value engineering, and research studies. We pride ourselves on understanding and anticipating what our clients need to ensure the success of their projects.

About You

You will be supporting the president of Hunter Pacific in this part-time, remote position. To be successful in this role, you should have experience supporting the calendar management and email correspondence of C-level executives. Our president receives a high volume of emails daily so you will need to have a knack for identifying which of those are a priority and following up accordingly. You also enjoy scheduling meetings and maintaining an organized calendar. You are responsive, organized, and resourceful.

Primary Duties and Responsibilities

  • Email Management
    o Actively respond to email communication on behalf of the company president
    o Ensure all emails with documents needing review and/or signature are handledpromptly
    o Reroute emails to alternate employees as necessary
    o Follow-up on email communication as needed
    o Keep inbox clean and organized. Unsubscribe from junk/spam emails

  • Calendar Management
    o RSVP to meeting requests and generate meeting invites as needed
    o Prioritize meetings and schedule accordingly
    o Offer meeting options and schedule via Microsoft Teams, Zoom, or in-person,depending on the requestor’s preference
    o Reschedule meetings as needed

  • Work closely and effectively with the President to keep her well informed of upcoming commitments and responsibilities, following up appropriately

  • Manage the President’s contacts in SharePoint

  • Use discretion, confidentiality, and good judgment when handling sensitive matters


  • Bachelor’s degree

  • 2+ years of experience supporting C-level executives, including scheduling and email management

  • Excellent communication and time management skills

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • Ability to work with a sense of urgency

  • Experience in a virtual work environment

  • Proficiency in Outlook, Microsoft Teams, SharePoint. Adobe, and Zoom
